Automating the Student Data Report at Daphne Middle School

The Challenge

Every reporting cycle, staff at Daphne Middle School faced the same time-consuming task: pulling student performance data from multiple systems — PowerSchool gradebooks, IXL benchmark results, and ACAP state assessment scores — and manually combining them into a single Excel file. Each source had its own format, its own identifiers, and its own quirks. Matching students across systems, averaging grades by subject area, mapping benchmark windows, and formatting the final file could take the better part of a day, and any change to the student roster or score updates meant starting over.

The Solution

Using Nexus, the school was able to generate the complete report in a single session. The tool pulled active student records for the 2025-2026 school year, extracted gradebook scores across four core subject areas, mapped IXL Flex Benchmark percentiles to BOY, MOY, and EOY windows, and layered in the most recent ACAP scale scores and performance levels — all joined on a common student identifier and exported as a formatted, color-coded Excel file with frozen headers and one row per student.

The Results

Manual Process

Time to complete: 4-6 hours

Risk of human error: High

Repeatable next cycle: No — rebuild from scratch

With Nexus

Time to complete: under 10 min

Risk of human error: Minimal

Repeatable next cycle: Yes — run on demand

The Impact

What used to consume most of a workday is now a conversation. The report is consistent, auditable, and ready to share the moment it is needed. More importantly, the time recovered is time that can go back into actually using the data — identifying students who need support, preparing for data meetings, and making informed decisions faster.

"The value is not just the hours saved. It is the confidence that the data is right, every time."
